Documents required for government tenders

A checklist to keep ready so you never miss a deadline because of paperwork.

Every tender has its own list in the Notice Inviting Tender (NIT) and bid document. Still, most tenders ask for the same core set. Keeping these ready, scanned and signed, saves days on every bid.

Business identity

  • PAN card of the business
  • GST registration certificate
  • Udyam certificate and NSIC certificate, if you have them
  • Partnership deed, certificate of incorporation or other constitution proof
  • Trade licence or other registrations needed in your field

Financial documents

  • Income tax returns, usually for the last 3 years
  • Audited balance sheets and profit and loss statements
  • Turnover certificate from a Chartered Accountant, in the tender's format if one is given
  • Bank details, and a solvency certificate where asked

Experience and capability

  • Work orders or purchase orders for similar work
  • Completion or performance certificates from earlier buyers
  • List of machinery, staff or infrastructure, where relevant
  • Quality certificates such as ISO or BIS, where required

Tender-specific documents

  • Affidavits on stamp paper or letterhead in the given format, for example on non-blacklisting
  • Authorisation letter for the person signing the bid
  • OEM or manufacturer authorisation, if you are a reseller
  • Technical compliance sheet and the financial bid format

Tips that prevent rejection

  • Read the eligibility section first. If turnover or experience does not match, the bid will not qualify.
  • Use the exact formats given in the tender. Do not replace them with your own.
  • Check that every page that needs a signature or stamp has one.
  • Upload clear scans within the portal's file size limits.
  • Submit a day early. Portals slow down near deadlines.
